Secure your workspace by instantly de-provisioning ex-employees to prevent lingering access.
Follow the below-mentioned steps to revoke access from departing users:
Navigate to the 'Directory' module and select 'Users' from the dropdown. Then, click the 'Employees' tab to search for the users you intend to offboard.
Upon selecting the user, you'll be redirected to their user profile page.
Click on the 'three-dot icon' (ellipsis) next to the user's active status, then select 'Offboard user' to mark the user for offboarding. Go back to Zluri's dashboard, navigate to the 'Workflows' module, and select 'Offboarding' from the dropdown. Then, click on '+ New Workflow' to create a deprovisioning workflow. Once clicked, a 'Select user for offboarding' dialog box will appear, displaying a list of users marked for offboarding. Use the search bar to find the users you intend to offboard, select them, and click 'Continue' to proceed.
Zluri will then display all the applications the selected user currently has access to. Alongside this, it will provide in-app deprovisioning action recommendations (e.g., remove users from groups, revoke licenses, and more) for each application.
Next, click on Google Workspace. You can see all in-app actions automatically listed that allow you to perform revocation operations for the application.
From the in-app deprovisioning recommendations, select the 'Create data transfer request for specific application' action to reassign document ownership to the reporting manager or team supervisor. This ensures that important data is retained and does not get lost upon user account deactivation.
Similarly, you can select the 'Set email forwarding for selected user(s)' action to redirect incoming emails to department heads.
Now, click '+,' search for Figma, and select it. From the recommended actions, create a manual task, select 'Custom Template'. Then, add the title and description of the task to notify IT admins about revoking the departing user's Figma access. You can choose the platform through which the notification will be sent – 'via Mail,' 'via Jira,' or 'via Slack.'
When you're done selecting the applications and in-app deprovisioning actions, type 'Confirm' and click on 'Run'. Zluri will now automatically revoke access to the specified application actions and will execute the in-app defined de-processing actions.
